Complete Telephone Call Processing

Voice Mail - Voice Mail Messages

What is it?

Voice Mail can assign an individual voice mailbox to each employee within your company. It ensures that messages are received accurately, privately and in detail. It eliminates "telephone tags" and inaccurate message slips. Users can customize greetings and messages and also retrieve them remotely. Messages can be saved, deleted or forwarded to another extension. The system can contact the user even at remote locations to tell him that a new message is waiting for him. Messages may be marked as "urgent" or "private", and the calling party can always return to a live operator if he does not wish to use the facility - no more "voice mail jail".

How does it work?

"Hi, it's Dave. I am out of the office right now but if you leave your name and number, I'll get back to you as soon as possible. If you need further assistance please call my secretary at '227' or dial '0' for an operator."

Why do I need it?

Let's face it. You're not always at your desk when the phone rings. In fact, studies show that more often than not, you are either out of the office, at a meeting, already on the phone or can't be interrupted. That means a message has to be taken. Traditional "pink slips" with incomplete, basic and sometimes inaccurate information can be time-consuming and prone to human error. Voice Mail ensures that you can be reached 24 hours a day, 7 days a week.

How will it save me time and money?

Voice Mail reduces labor costs. The time and effort that is usually spent taking messages can now be used to perform more important tasks. The elimination of the "telephone tag" and reduction of idle chit-chat may also reduce call-backs and long-distance calls.

Improved, accurate message content reduces paper flow and enhances overall customer service satisfaction too. Costly internal memos may also be reduced through effectively using Voice Mail
